How Vietnam Group Operator handles inquiry, group brief, website, and operational information for travel partners.

Privacy Policy – Vietnam Group Operator

Vietnam Group Operator (“VGO”, “we”, “our”, or “us”) is operated by Scivi Travel and supports overseas travel partners with Vietnam group travel operation, routing, quoting assumptions, supplier coordination, guide briefing, and ground services.

This Privacy Policy explains how we collect, use, and handle information when you visit our website, contact us, submit a group brief, request a proposal, or work with us on a travel program.

1. Information we collect

a. Information you provide directly

When you contact us or submit a form, we may collect:

  • name
  • email address
  • company or organization
  • role and source market
  • phone or WhatsApp contact details
  • group size, travel month, destination interests, hotel level, route status, and other brief details
  • any information you choose to include in your message

For confirmed group operations, additional information may be collected when needed for travel arrangements, safety, and logistics. This may include arrival and departure details, rooming information, dietary notes, mobility considerations, passport or visa-related information when required, and emergency contact details.

b. Information collected automatically

When you visit our website, we may collect non-personal information such as pages viewed, time spent on the site, general location, device type, browser type, and referral source. This may be collected through standard analytics tools and cookies.

2. How we use information

We use information to respond to inquiries, review group briefs, prepare proposals, coordinate confirmed services, communicate with travel partners, manage ground operations, improve our website, and support safety and operational readiness.

We do not sell personal information. We do not use partner brief details for unrelated marketing purposes.

3. Sharing of information

We share information only when necessary to deliver or prepare travel services. This may include hotels, transport providers, guides, restaurants, cruise operators, domestic flight or ticketing partners, local coordinators, and emergency services when required.

We limit shared information to what is needed for the relevant service or operational purpose.

4. Partner and client relationship boundaries

For B2B and white-label work, we treat the overseas travel partner’s client relationship as commercially sensitive. We do not use submitted group briefs to approach the partner’s client directly unless this has been expressly agreed.

5. Data storage and security

We use reasonable measures to protect information, including limiting access to relevant team members and using standard digital tools for communication and coordination. No digital system is completely secure, so we avoid collecting unnecessary sensitive information where possible.

6. International data context

VGO operates primarily in Vietnam and works with overseas partners. Information may therefore be processed or shared across countries when required for proposal preparation, travel coordination, or ground operation.

7. Your choices

You may contact us to request access to information we hold about you, ask us to correct information, or request deletion where appropriate and legally possible.

8. Cookies and analytics

Our website may use cookies and analytics tools to understand how visitors use the site. You can adjust your browser settings to disable cookies if preferred.

9. Updates to this policy

We may update this Privacy Policy from time to time. The most current version will be available on this page.
