Terms and Conditions – Vietnam Group Operator

These Terms and Conditions explain how Vietnam Group Operator (“VGO”, “we”, “our”, or “us”), operated by Scivi Travel, provides information, proposals, and Vietnam ground operation services to overseas travel partners.

By requesting a proposal, confirming services, making a payment, or engaging our services, you acknowledge that these Terms and Conditions may apply unless a separate written agreement states otherwise.

1. Scope of services

VGO supports overseas travel partners with Vietnam group travel operation. Our role may include route review, itinerary development support, quote assumptions, supplier coordination, hotels, meals, guides, transport, arrivals, domestic travel coordination, and live ground operation.

Exact services depend on the confirmed proposal or written agreement.

2. Website information and sample programs

Information on this website, including sample programs, routing notes, planning pages, and quote checklists, is provided for general B2B planning purposes. It does not create a binding offer, confirmed price, guaranteed availability, or final operating commitment.

All final itineraries, inclusions, exclusions, pricing, cancellation terms, and supplier arrangements must be confirmed in writing.

3. Proposals, quotes, and availability

Quotes are subject to route assumptions, group size, travel dates, hotel category, domestic flights, meal level, guide requirements, supplier availability, payment timing, and other operating variables.

A quote is not final until the relevant inclusions, exclusions, payment terms, and confirmation conditions have been agreed in writing.

4. Partner responsibilities

Travel partners are responsible for providing accurate group information, client expectations, travel dates, rooming requirements, arrival and departure details, mobility or dietary considerations, and any known special requirements.

Travel partners are also responsible for their own client communication, sales representation, insurance requirements, participant documentation, and any obligations they hold toward their clients unless otherwise agreed.

5. Operational changes

Group travel involves real-world conditions. Routes, timing, activities, guides, restaurants, hotels, transport, or visit sequences may need to be adjusted due to weather, traffic, supplier availability, domestic flight changes, safety considerations, public-site conditions, or other operational constraints.

We will make reasonable efforts to provide suitable alternatives when changes are necessary.

6. Health, safety, and traveler conduct

We design and operate programs with practical safety and group readiness in mind. However, travel involves inherent risks that cannot be fully eliminated.

Participants are expected to follow guidance from guides, group leaders, and local partners; comply with local laws and regulations; and disclose relevant dietary, mobility, or medical considerations in advance where needed for safe operation.

7. Payments and cancellations

Payment schedules, deposits, cancellation terms, refund conditions, and supplier-specific penalties are defined in the relevant proposal, invoice, or written agreement. External supplier rules may affect cancellation and refund outcomes.

8. Force majeure

VGO is not responsible for failure or delay caused by circumstances beyond reasonable control, including natural disasters, severe weather, public health events, political instability, government restrictions, transport disruption, supplier failure, strikes, or other events outside normal operational control.

9. Limitation of liability

To the maximum extent permitted by applicable law, VGO is not liable for indirect, incidental, consequential, or commercial losses, including loss of opportunity, lost profit, schedule disruption, reputational impact, or dissatisfaction with travel outcomes caused by circumstances outside our reasonable control.

10. Intellectual property and website use

Website content, sample program text, planning notes, and images may not be copied, reproduced, republished, or used for commercial purposes without permission, except for reasonable internal review by travel partners considering VGO services.

11. Governing law

These Terms and Conditions are governed by the applicable laws of the jurisdiction in which Scivi Travel operates, unless otherwise agreed in writing.
